Title: EHS Operations Coordinator
Classification: Non-exempt
Reports to: EHS Deployment Manager

Position Summary:
The EHS Operations Coordinator plays a critical role in supporting Environmental Health & Safety (EHS) operations by managing vendor relationships, coordinating essential services, and ensuring compliance, cost control, and execution consistency across all locations. This position serves as the central point of coordination between vendors, EHS leadership, and store operations, ensuring all EHS programs are executed efficiently and aligned with company
standards.

Essential Duties and Responsibilities:
Vendor & Service Management:
  • Administer relationships with key EHS vendors, including:
    • PPE suppliers
    • Hazardous Waste (HazMat) vendors
    • Chemical providers (e.g., Ecolab)
    • Safety supply and related service vendors.
  • Manage and onboard current and future EHS vendors, ensuring scalability of the department, including but not limited to:
    • Cleaning supply vendors
    • Third-party cleaning and sanitation companies
    • Waste and recycling service providers
    • Pest control services
    • Equipment maintenance and compliance-related vendors
    • Any additional vendors introduced to support evolving EHS programs and operational needs
  • Support the evaluation, onboarding, and performance management of new vendors, including:
    • Service scope alignment
    • Pricing validation and cost analysis
    • Service level expectations and accountability.
    • Function as liaison between vendors, EHS leadership, and store teams.
    • Ensure vendor performance meets service expectations and company standards.
Program Coordination:
  • Coordinate and manage:
    • Trash services and service escalations
    • Donation pick-ups and scheduling
    • Hazardous waste (HazMat) pick-ups and compliance timelines.
    • Ensure services are executed consistently and on schedule across all locations.
Order Guide & Cost Control:
  • Maintain and validate order guide integrity for:
    • Ecolab
    • GVH
    • PPE and safety supply vendors.
  • Review pricing, identify discrepancies, and validate costs across all EHS-related services.
  • Partner with internal teams and vendors to ensure cost transparency and control.
Product Recall Support:
  • Support product recall processes by:
    • Coordinating vendor communication and requirements
    • Assisting with tracking, reporting, and documentation
    • Ensuring alignment between stores, vendors, and internal teams.
Reporting, Data Management & Verification:
  • Generate and maintain reports related to:
    • Vendor performance and service execution
    • Cost tracking and pricing validation
    • Compliance with EHS programs.
  • Manage data collection processes, including:
    • Extracting, exporting, and organizing data from various systems
    • Cleaning and validating data for accuracy and consistency
    • Preparing and delivering clean, structured, and analysis-ready datasets.
  • Provide data support to the EHS Deployment Manager for:
    • Company-wide analysis
    • Consumption reporting
    • Operational insights and decision-making.
  • Verify completion and accuracy of vendor-related activities.
  • Identify gaps, risks, or inconsistencies and escalate as needed.

Required Education and Experience:
  • Experience in operations coordination, vendor management, or supply chain (retail or food industry preferred).
  • Retail Service experience.
  • Proficiency in Excel and reporting tools.

Knowledge and Skills:

Physical Demands:
This job operates in a clerical office setting. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend, or stand, as necessary. May also have to do some light lifting of supplies and materials from time to time. Position will require working in stores and in cold and hot environments such as Department Coolers and Prep Areas. This position requires 30% Field work  70% In office work. Fast-paced corporation and field support environment. Frequent coordination with vendors, store teams, and leadership. Combination of administrative work and operational support.

Position Type/Expected Hours of Work:
  • This position is set to be an Hourly Non-Exempt position 40 Hours a Week.
  • Monday – Friday, with occasional weekends based on business needs.
